Where rental bookings slip
Most UAE rental companies take a large share of bookings on WhatsApp. A customer sends a screenshot of a car from Instagram and asks whether it is free next Thursday for five days, with delivery to the airport. Someone checks the fleet system or a spreadsheet, calculates a price with the right daily or weekly rate, adds insurance and extras, and replies. By then the customer may have booked elsewhere.
The website often shows cars that are in the workshop, prices that ignore the season and a form that asks for everything except the dates. The underlying problem is that availability and pricing live in the fleet system while enquiries live in chat, and nothing connects them.
The workflows we build for
- Vehicle availability
- Search by category or model, pickup and return date, and location, reading availability from your fleet or rental management system. Cars in maintenance or on hold drop out automatically. Where you rent by category rather than exact model, the site says so plainly.
- Rental dates, rates and extras
- Pricing that applies your rules: daily, weekly and monthly rates, seasonal changes, minimum rental periods, mileage limits, and extras such as full insurance, additional driver, child seat or GPS. The customer sees the total before submitting, including what is charged later, such as tolls and fines.
- Deposits and payments
- Online payment through a UAE payment gateway, with the security deposit handled the way you already work, often as a card pre-authorisation that is released after the return and after tolls and fines are settled. Refund and release timings are shown to the customer at booking to cut down on disputes.
- Booking handoff
- Each booking arrives in the fleet system as a reservation, not an email, with documents attached: driving licence, passport or Emirates ID, and entry stamp or international permit where required. Your team verifies documents and confirms, and the customer gets the confirmation on WhatsApp and email.
- WhatsApp enquiries
- Click-to-chat links on each car carry the model and dates. An assistant can check availability and quote a price from the same rules as the website, then hand the conversation to staff to close. - Airport and hotel delivery
- Delivery and collection requests with location, flight number and time, and a delivery fee applied by zone. Delivery jobs go onto a driver schedule, and the customer receives the driver's contact details on the day.

Implementation risks
- Real-time availability depends on your fleet system's API. If it has none, bookings become requests your team confirms, and the site should say so.
- Pricing rules kept in someone's head need writing down before they can be automated. This is often the longest part of the project.
- Deposit pre-authorisations expire after a period set by the card issuer and gateway. Long rentals need a clear process for that.
- Identity documents are sensitive personal data under the UAE PDPL. Upload, storage and deletion need to be designed, not left in a chat thread.
