HubSpot is quick to switch on and easy to set up badly. Most of the portals we are asked to fix were configured in a weekend and never revisited.

We implement HubSpot as an independent studio. We are not presenting ourselves as a HubSpot partner, and you buy your subscription directly from HubSpot, in your own name.

What we configure

Portal setup
Company defaults, AED as the company currency with other currencies where you quote in USD or EUR, time zone, working hours, users, teams and permission sets. Email and calendar connections, domain authentication for sending email, and the tracking code on your website.
Pipelines and deal stages
One pipeline per genuinely different sales motion, such as off-plan versus secondary property, or new business versus renewals. Each stage has an exit criterion written down and required properties that enforce it.
Properties
Only the properties your reports and rules need: emirate, preferred language, source, service line, budget band and, for B2B, trade licence and TRN fields where you invoice companies. Dropdowns instead of free text wherever a value is used for routing or reporting.
Lifecycle stages
HubSpot's default stages (subscriber through lead, MQL, SQL, opportunity and customer) mapped to your definitions, with rules for when a contact moves forward and who is allowed to move it back.
Forms and lead capture
HubSpot forms or your existing website forms connected to HubSpot, with hidden source fields, consent checkboxes worded for your use, and phone numbers captured in international format including +971.
WhatsApp integration
Either HubSpot's own WhatsApp channel in the conversations inbox, where your subscription includes it, or a WhatsApp Business Platform provider that syncs to HubSpot. Opt-in, templates and the 24-hour window work as described on our WhatsApp automation page.
Sequences and workflows
Follow-up sequences for sales reps and workflows for assignment, lifecycle updates, task creation and internal alerts. Which of these you can use depends on your hub and tier, so we design within what you have paid for.
Reporting
Dashboards for pipeline by stage and owner, source to deal conversion, response time and activity, built on properties that the process keeps accurate.

Data migration

We migrate what you are allowed to keep and will actually use. Before anything is imported, we agree which records have a lawful basis to be held under the UAE PDPL and your own policies, which history matters (open deals, recent activity, customers) and which can stay in an archive export.

Data is cleaned before import, not after: duplicates merged, phone numbers normalised, Arabic and English spellings of the same name matched, and owners mapped to real users. Companies, contacts, deals and their associations are imported in the order HubSpot needs, then reconciled against the source by record counts and spot checks. Where the source is another CRM with an API, or the import has to repeat during a transition, we script it as part of our API integration work instead of relying on one-off spreadsheets.

How an implementation runs

  1. Discovery

    Sessions with sales, marketing and whoever handles service, plus a review of your current tools and data. We map the real process, including the parts that happen on WhatsApp and in personal notebooks.

  2. Design document

    Pipelines, stage criteria, properties, lifecycle rules, integrations and reports written up for sign-off. This is also where we tell you if your current HubSpot tier cannot do something you need.

  3. Build

    Configuration in your portal, with test records, and integrations tested on a staging form or test number before real customers touch them.

  4. Migration and reconciliation

    A trial import, a check by your team, then the final import and a count-by-count reconciliation.

  5. Training and go-live

    Role-based training for reps, managers and your admin, then a go-live date after which the old tool becomes read-only.

  6. Post-launch review

    After a few weeks of real use we review adoption, missing fields and reports, and adjust the setup.

Included and excluded

Included
Design document, portal configuration, forms, WhatsApp connection, sequences and workflows within your tier, dashboards, data migration with reconciliation, training sessions, and an admin handbook describing every rule and property.
Excluded
HubSpot licence fees, WhatsApp provider and Meta messaging charges, writing marketing campaigns and email content, running ads, and custom objects or apps beyond what the design document lists. Website builds on HubSpot's CMS are scoped separately under web development.

How pricing is decided

  • Which hubs and tiers you have: a single Sales Hub setup is a different job from Sales, Marketing and Service together.
  • The number of pipelines, teams and permission levels to model.
  • The source and state of your data, and whether migration is a single import or a scripted sync during a transition.
  • How WhatsApp is connected, and whether other systems such as a booking tool, ERP or property portal feed need integrating.
  • Training: one team in one language, or several teams in English and Russian or Arabic.

We give a fixed quote after discovery. If HubSpot is part of a wider lead capture setup with a new website, the lead-to-CRM system packages the two together.

Questions buyers ask

Are you a HubSpot partner?

We do not claim partner status. We implement HubSpot as an independent studio, you hold the subscription and admin rights, and nothing about our work depends on a partner arrangement.

Which HubSpot tier do we need?

It depends on what you want to automate. Workflows, sequences and several reporting features sit in paid tiers. We map your requirements to tiers in the design document, so you buy what you need rather than upgrading later by surprise.

Can WhatsApp conversations appear in HubSpot?

Yes, when WhatsApp runs on Meta's WhatsApp Business Platform, through HubSpot's own channel or a provider's integration. Chats on the WhatsApp Business app on a phone cannot be captured reliably.

Does HubSpot handle Arabic?

Records, properties and emails can hold Arabic text, and forms can be built in Arabic. The HubSpot interface language for your staff is a separate setting; we check which languages your users need before training.

Is HubSpot compliant with the UAE PDPL?

Compliance depends on how you collect, store and use personal data, not only on the tool. We set up consent capture and data retention in the portal, and point out where your data processing terms and hosting region need a decision from your side.

Do you guarantee better conversion after implementation?

No. A clean HubSpot setup makes the pipeline visible and follow-up consistent, but results depend on your team, offer and market.
