Websites, Software & Automation for Professional Services
Law firms, accounting and audit practices, consultancies and business setup agencies in the UAE sell expertise, but lose hours to intake, chasing documents and scheduling. We build the intake, portal and CRM systems that handle that work while keeping client information confidential.
Where fee-earners lose time
A professional services firm gets a steady mix of enquiries: good-fit clients, people who want free advice, and matters the firm cannot take. Partners and senior staff often triage them personally, because a poor first reply to a high-value enquiry is costly. That triage takes time away from billable work.
Once a client signs, the next bottleneck is documents. Passports, trade licences, bank statements, contracts and financial records arrive by email and WhatsApp, in the wrong format, with pages missing. Staff chase and rename files, and sensitive material ends up in personal inboxes. The pressure peaks around VAT return deadlines and corporate tax filing, when every client needs something at once.
The workflows we build for
- Lead intake
- Service pages and intake forms that ask the qualifying questions up front, such as matter type, jurisdiction, company size, urgency and budget range where appropriate, and route each enquiry to the right practice group or adviser. Enquiries that fall outside your scope get a polite, useful response instead of silence. See the lead-to-CRM system.
- Conflict checks and confidentiality
- For law firms, intake captures the parties involved so a conflict check can run against your matter records before anyone discusses substance. Forms warn people not to send confidential details before engagement, and nothing sensitive goes to marketing tools or an AI assistant.
- Document collection portals
- A client portal listing exactly what is needed for each engagement, with secure uploads, status per item, reminders for what is outstanding and role-based access for your team. It replaces email attachments and WhatsApp photos of passports. See web application development.
- Appointment booking
- Consultation booking by service and adviser, with paid consultations taken through a UAE payment gateway where you charge for them, reminders, and a video link or office location in the confirmation.
Bilingual content and filing seasons
Clients in the UAE may need to read about your services in Arabic, and government-facing work often involves Arabic documents. We build bilingual sites with proper right-to-left layouts and separate, reviewed content for each language, not machine translation of legal or tax explanations. Professional advertising rules, such as those for legal practitioners, still apply to what you publish, so claims and case descriptions go through your own review.
VAT returns and corporate tax filings create predictable spikes. We turn them into workflows: a client list by deadline, automated document requests weeks ahead, reminders for what is still missing and a dashboard showing which files are ready for review. The same pattern works for trade licence renewals at business setup agencies.
One engagement, end to end
An enquiry comes in
The intake form captures the matter type and parties, and creates a CRM record.
Screening
Conflict or fit check, then the enquiry is routed to the right adviser or declined politely.
Consultation booked
The client picks a slot, pays if required and receives a confirmation.
Engagement and documents
The engagement letter is signed and the portal opens with a document checklist.
Delivery and renewal
Status updates as work progresses, then a reminder before the next filing or renewal.
Services that apply
- Corporate website developmentBilingual practice-area and adviser pages.
- Web application developmentSecure client portals for document collection.
- CRM automationIntake routing, engagement tracking and renewal reminders.
- Workflow automationDeadline-driven document requests for VAT and tax seasons.
- HubSpot implementationCRM set up for matters and engagements.
- Local SEOVisibility for office locations and practice areas.
Implementation risks
- Client documents are highly sensitive. Hosting location, encryption, access logs and retention rules need agreeing before any portal goes live.
- An AI assistant must not give legal or tax advice. It can explain services and book consultations, and nothing more.
- Staff keep using email if the portal is harder than email. Adoption needs simple uploads and reminders that do the chasing.
