Websites, Software & Automation for Education & Training

Training centres, tutoring businesses, schools and universities in the UAE all run an admissions funnel, even if nobody calls it that. We build the enquiry, follow-up, scheduling and portal systems that move a prospective learner, or their parent, from first question to enrolment.

Where enquiries go cold

An education enquiry is rarely a one-step decision. A parent comparing schools books a tour, asks about fees and transport, and talks it over at home. An adult comparing professional courses asks about the schedule, the certificate and whether the company will pay. In both cases the first reply matters, and so do the second and third. Enquiries that sit in a shared inbox over a weekend often go to whoever replied first.

Once someone enrols, the problem changes. Timetables, attendance, payments, course materials and parent updates are scattered across an LMS, a student information system, spreadsheets and WhatsApp groups. Staff spend their time copying data between them instead of teaching or advising.

The workflows we build for

Enquiry and admissions funnel
Course or programme pages that answer the real questions (schedule, format, entry requirements, what the fee covers), feeding one form into a CRM with the source, programme and intake recorded. Each stage, from enquiry to assessment, offer and enrolment, is visible, so you can see where people drop out. See CRM automation.
WhatsApp follow-up
Most families and learners in the UAE prefer to reply on WhatsApp. Through Meta's WhatsApp Business Platform, enquiries land in a shared inbox by campus or course, and follow-ups outside the 24-hour customer service window use approved templates sent only to people who opted in. An assistant can answer routine questions about dates, locations and the next step, and hands anything about fees or suitability to an adviser.
Scheduling
Online booking for campus tours, placement tests, trial classes and consultations, with reminders and simple rescheduling. For tutoring and training centres, class and tutor scheduling can read availability from the system you already use or from one we build.
LMS and learner portals
Connecting enrolment to your LMS (Moodle, Canvas, Google Classroom or a commercial platform) so accounts and course access are created automatically, or building a learner portal for materials, attendance, certificates and payments where off-the-shelf tools do not fit. See web application development.
Parent communication
Announcements, reports and reminders sent by class or year group, with a record of what was sent and read, instead of informal WhatsApp groups that include former parents and cannot be audited.

Regulators, minors and data

Private education in the UAE is regulated at emirate level, for example by KHDA in Dubai and ADEK in Abu Dhabi, alongside federal bodies for higher education. Their rules shape how you describe fees, ratings, accreditation and admissions criteria. We build the CMS so that this content has an owner and an approval step, and we do not publish ratings or accreditation claims you have not confirmed.

Schools and tutoring businesses handle data about children. Under the UAE PDPL and good practice generally, that means collecting the minimum, getting consent from a parent or guardian, restricting staff access by role and keeping student records out of marketing tools. Ad pixels and analytics are configured so that child-related information is never sent to advertising platforms.

One enquiry, end to end

  1. A parent submits an enquiry

The form records the programme, year group and source, and creates a CRM record.

  2. Immediate reply on WhatsApp

The parent gets tour or assessment slots and can book one in the conversation.

  3. Tour or assessment

Reminders go out, and the adviser logs the outcome against the record.

  4. Follow-up

Approved templates at agreed intervals, stopping as soon as the family replies or opts out.

  5. Enrolment

Accepting the offer triggers the LMS or portal account and the first payment request.

Services that apply

Implementation risks

  • Student information systems used by schools often have restricted APIs. Some integrations will be exports on a schedule, not live sync.
  • Automated follow-up that ignores a family's reply feels like spam. Sequences must stop when a person responds.
  • Intake peaks are short. Changes to admissions flows should go live well before the season, not in the middle of it.
