Websites, Software & Automation for Dental Clinics
Dental patients shop around on price and trust, often in their own language, and many high-value treatments take several visits to decide. We build the enquiry, booking and follow-up systems that keep those patients moving from first question to accepted treatment plan.
Why dental enquiries go cold
A clinic in Dubai might get enquiries about implants, aligners, veneers and whitening every day, each with the same first question: how much? The honest answer depends on an examination, so the reply is vague, and the patient messages three other clinics. Those who do book a consultation receive a treatment plan, go home to think about it, and are never contacted again because nobody owns that follow-up.
The gap is rarely the website's design. It is the lack of a record that connects the first enquiry, the consultation, the plan presented and the decision, so the clinic can see where patients drop out and act on it.
The workflows we build for
- Treatment enquiries
- Treatment pages that explain what the process involves, how many visits it usually takes and what affects the cost, so the enquiry that follows is better informed. Enquiry forms and WhatsApp links carry the treatment the patient was reading about, so reception does not start from zero.
- Consultation booking
- Online booking for consultation and check-up slots by dentist, branch and language spoken, with longer or specialist appointments handled as requests that reception confirms. Missed calls outside hours can trigger a WhatsApp or SMS reply offering the booking link.
- Treatment-plan follow-up
- When a plan is presented and not accepted, the CRM creates a follow-up task for a named coordinator, with the plan value and treatment type attached. Follow-ups are human, spaced out and stop when the patient says no. Messages after the 24-hour customer service window use approved WhatsApp templates and go only to patients who opted in.
- Reviews
- A review request sent after a completed visit, not after a consultation, with a link to your Google Business Profile. Requests go to every patient rather than only the happy ones, because filtering who is asked is against most review platforms' rules.
- Before-and-after content
- Before-and-after images are among the most regulated content a dental clinic publishes. They generally need the patient's written consent, the relevant health authority's advertising approval, and must be unedited and free of promised results. We build the gallery so each case carries its consent and approval record, and can be removed quickly if consent is withdrawn.
- Multilingual patients
- Arabic and English as a minimum, with right-to-left layout done properly, and further languages where your patient base needs them. Each dentist's languages are shown on their profile and used as a booking filter. Automated replies follow the language the patient wrote in.
From consultation to accepted plan
Consultation booked online or by WhatsApp
The treatment of interest and language are captured with the booking.
Plan presented and logged
The coordinator records the plan type and status in the CRM after the visit.
Follow-up tasks are created
A first check-in a few days later, then a second, on a schedule you set.
The patient decides
Accepted plans move to scheduling; declined ones are closed with a reason you can report on.
Review request after treatment
Sent once treatment is complete, through the channel the patient used.

Implementation risks
- Publishing prices online is a business and regulatory decision. We build pages that explain cost drivers either way, but the clinic decides what is shown.
- Follow-up that feels like pressure damages trust. Frequency and wording need the clinical team's agreement.
- Treatment-plan tracking only works if coordinators log plans consistently. The CRM form must be quick enough to fill in between patients.
- An assistant must not suggest a diagnosis or treatment from a photo or description. Its scope is administrative, and it hands over clinical questions.
