The two terms are used loosely, so here is how we use them. A chatbot takes a question, finds the relevant passage in your approved content and answers it in plain language. It can collect a name, a phone number and a short description of the enquiry, and pass them to your CRM through one fixed integration. It does not decide to do things in your systems.
An agent is given tools and chooses which to use: check availability, create a booking, draft a quote, update a record. That makes it more useful and riskier, and it needs permissions, approval steps and more testing. If your customers mainly ask questions, a chatbot is the cheaper and safer build. It fits poorly if your information changes daily and nobody owns keeping it current, or if most enquiries need a judgement call. A chatbot repeats whatever its sources say, including outdated prices.

- A chat window that matches your brand, loads without slowing the page and works in right-to-left layout for Arabic. It can open on specific pages with a relevant first message.

- Arabic and English
- The bot replies in the language the customer writes in. We test Modern Standard Arabic, Gulf dialect, Arabic typed in Latin letters and messages that mix both languages, because UAE customers use all four.
- Approved Arabic wording
- Where your terms, prices or medical and legal wording must be exact, we store an approved Arabic version rather than letting the model translate on the fly.
How we keep answers accurate
Language models will produce a fluent answer to almost anything. The work is in stopping them when they shouldn't.
- Answers come from retrieved passages of your approved sources, and the bot is instructed to say it doesn't know when those passages don't cover the question.
- Each source has an owner and a review date. Price lists and policies are pulled from the system they live in where possible, rather than copied into a document that goes stale.
- Topics the bot must not answer (diagnosis, legal advice, refund decisions, anything about other customers) are listed and tested as refusals.
- Prices, dates and numbers are quoted from the source text, not paraphrased.
- A test set of real customer questions, with the correct answer for each, is run before launch and after every change to content, prompts or model.
- Answers can show the source page, so customers and staff can check them.
Handoff and analytics
Handoff rules are agreed before build: the customer asks for a person, the bot can't find an answer, the same question comes back twice, the message sounds like a complaint, or the enquiry is a qualified lead. The conversation goes to a shared inbox or your CRM with a short summary, so nobody asks the customer to start again. Outside working hours the bot says when someone will reply.
The dashboard shows what matters for improving the bot: questions it couldn't answer (your content gaps), handoff rate by topic, conversations that ended without resolution, language split, and simple customer ratings. Leads handed to sales are tagged with the page or ad they came from, so they can be followed in your analytics and conversion tracking setup. We review these with you in the first weeks and adjust sources, not just prompts.

What decides the price
- The number and state of sources: a tidy FAQ page or scattered PDFs and old brochures.
- Channels: website only, or website plus WhatsApp.
- Language depth, especially where exact approved Arabic wording is needed.

Questions buyers ask
Can we train it on our website?
We can index your website, but we usually add or replace some sources, because websites often hold old prices and marketing copy that doesn't answer real questions. The bot is only as good as the content behind it.
Will it ever make things up?
It can, which is why answers are restricted to retrieved sources, sensitive topics are refused and we test before launch. We measure error rates rather than promise zero.
Can it book appointments?
Booking is an action, which makes it an agent feature. We can add a booking tool with checks and logging, or hand the customer to staff or a booking link.
Where is the chat data stored?
In the hosting and model regions agreed at scoping, with a retention period you approve. Where personal data must stay in the UAE, we choose providers and regions that allow it.
Do we need WhatsApp from day one?
No. Many clients start on the website, fix the content gaps the analytics reveal and then add WhatsApp once answers are reliable.
