- Channel setup
- A Meta business portfolio, business verification where required, a phone number registered to the platform and an approved display name. Access is either direct through Meta's Cloud API or through a Business Solution Provider (BSP).
- Opt-in
- You need a customer's permission before sending them business-initiated messages. We build opt-in capture into your forms, checkout and conversations, and store when and how it was given.
- The 24-hour customer service window
- When a customer messages you, a 24-hour window opens in which you can reply freely. Outside it, you can only start a conversation with a pre-approved message template.
- Message templates
- Templates are submitted to Meta for approval and fall into categories such as marketing, utility and authentication. Category affects both approval and cost, so we write templates for their real purpose.
- Quality and limits
- Meta tracks how customers respond to your messages. Blocks and reports lower your quality rating and can restrict how many people you can message, so relevance matters more than volume.
- Policy on automated replies
- Meta's business and commerce policies apply to what an automated assistant may do on the platform. We check the current version at scoping, because it changes.

Answers from approved content
Questions on prices, availability or policies are answered from content you approve, not from the model's general knowledge.

CRM delivery

Human handoff and failure handling
The fastest way to lose a WhatsApp lead is a bot that will not let go. We set explicit handoff triggers: the customer asks for a person, the same question repeats, the AI step is unsure, the value is above a threshold or the topic is a complaint. Outside working hours, the flow says when a person will reply instead of pretending one is there.
Failures are designed in, not discovered later. If the CRM is unavailable, the lead is queued and retried rather than lost. If a template is rejected or paused by Meta, the send falls back to a staff alert. Delivery and read status webhooks are logged, so you can see which messages failed and why. Running costs have several separate lines. Meta charges for certain messages under its current pricing model, at rates it publishes by message category and the recipient's country, and the model itself has changed more than once, so we check it at scoping. A BSP, if you use one, adds its own subscription or per-message markup. Questions buyers ask
Can we keep using WhatsApp on our phones?
It depends on how the number is set up. Meta has introduced options for using the Business app and the platform on the same number, with limitations. We check what your current setup allows and recommend the option that keeps your history and team workflow intact.
Can we message all our existing contacts?
Only those who have opted in to receive messages from you on WhatsApp, and only with approved templates outside the 24-hour window. Messaging people who did not opt in risks blocks, a lower quality rating and restrictions on your number.
Is an AI chatbot necessary, or are buttons enough?
Many flows work well with buttons and lists alone, which are cheaper and more predictable. We add an AI step where customers write free text that rules cannot handle, usually for questions and unstructured enquiries.
How long does template approval take?
Meta reviews templates and often responds quickly, but rejections happen, especially for marketing templates. We submit early and keep fallback wording ready.
