Where operations teams lose the day
A forwarder's sales desk receives quote requests by email, web form, WhatsApp and phone, each missing something: the incoterm, the dimensions, the commodity, whether it is hazardous. Someone chases the details, prices the job from carrier rates in a spreadsheet and sends a PDF. By then the customer may have taken another quote.
After booking, the same customers ask "where is my shipment?" several times a day. Operations staff look it up in the TMS, a carrier site or a WhatsApp group with the driver, then reply by hand. Meanwhile bills of lading, commercial invoices, packing lists and customs declarations move between inboxes, and a missing document can hold a container at the port.

- Quote requests
- Structured request forms by mode (sea, air, road, courier, household move) that collect what pricing needs before anyone looks at it. Standard lanes or parcel rates can be priced instantly from your rate tables; complex jobs go to the right desk with the details already complete, and the request is tracked in your CRM.
- Shipment tracking portal
- A customer portal showing each shipment's status, milestones and documents, fed from your TMS and, where available, carrier or port data. Customers log in instead of emailing, and account managers see the same view. See web application development.
- Customer notifications
- Automatic updates at the milestones customers care about (booked, departed, arrived, cleared, out for delivery, delivered) by email or WhatsApp. WhatsApp updates use approved templates and go only to contacts who opted in; replies land in a shared inbox, not on a driver's phone.
- Documents
- Bills of lading, airway bills, invoices, packing lists, certificates of origin and customs paperwork collected against the shipment, with checklists that show what is missing. AI extraction can read key fields from incoming documents for a person to confirm; it does not submit customs declarations on its own.
- Driver apps
- A simple mobile app for pickups and deliveries: job list, navigation link, photo and signature proof of delivery, cash-on-delivery collection and status updates that flow back to the TMS and the customer. See mobile app development.
TMS, ERP and customs systems
Most logistics businesses already have a system of record: a freight forwarding TMS, a courier platform, or an ERP such as Odoo, SAP Business One or Microsoft Dynamics. We build around it rather than replacing it. The first step is to see what it exposes (an API, webhooks, EDI, scheduled exports or nothing at all), because that decides whether tracking is live or refreshed on a schedule.
Customs declarations in the UAE go through each emirate's customs systems, such as Dubai Trade for Dubai. We can prepare data and documents for your brokers and connect to the information those platforms make available to you, but the declaration itself stays with your licensed staff or broker.

Implementation risks
- Tracking is only as current as its source. If carriers update late, the portal will too, and customers should see when data was last refreshed.
- Document extraction makes mistakes on poor scans and unusual layouts. Anything that feeds customs or invoicing needs human confirmation.
- Driver apps fail when they add steps. Keep the job flow short and test it with drivers, in the heat, on their own phones.
