Automation, implementation or a new CRM
These are three different jobs. This page covers the first.
- CRM automation (this service)
- The CRM is live and the team uses it, but work between the records is manual. Leads are assigned by whoever sees them first, follow-ups depend on memory, deals sit in the wrong stage and WhatsApp conversations never reach the record. We add the rules, triggers and integrations that fix that, without replacing the system.
- CRM implementation
- You have chosen a CRM but it is not set up, or the first setup was never finished. Objects, fields, pipelines, users and data import come first. See CRM implementation.
- A custom CRM
- Your sales process cannot be modelled in a packaged product at a sensible cost, or the CRM is part of a product you sell. See custom CRM development.
A sign you are in the right place: the team complains about the CRM, but the problems they describe are about what happens between records, not what the records contain.
What we automate
- Lead routing
- New leads are assigned by rules you can read: language, emirate, service line, deal size, source or round-robin within a team. Leave, working hours and capacity are respected, and unassigned leads raise an alert rather than waiting silently.
- Response-time ownership
- Each new lead gets a first-response deadline. If it passes, the lead escalates to a team lead or is reassigned. You can see who owns every open lead at any moment.
- Follow-up sequences
- Tasks and reminders created at the right point, plus email sequences and, for customers who opted in, WhatsApp template messages. Sequences stop automatically when the customer replies or a meeting is booked.
- Deal stage rules
- Required fields before a deal can move forward, automatic stage changes when a quote is sent or a contract is signed, and alerts for deals that have not moved in an agreed number of days.
- WhatsApp and email logging
- Conversations from the WhatsApp Business Platform or your shared inbox are attached to the right contact and deal, so the next person can read the history instead of asking the customer again. Setup follows Meta's rules on opt-in and templates, covered on our WhatsApp automation page.
- Dashboards
- Pipeline by stage and owner, response times, conversion by source and stage age, built on data the automation keeps accurate. Reports that rely on manual updates are replaced with ones that don't.
- Data hygiene
- Duplicate detection and merge rules, phone numbers normalised to international format including +971, required fields, picklists instead of free text, and scheduled checks that flag incomplete records to their owner.
Working within each platform
We use each CRM's own automation first, because it is supported, visible to your admins and survives staff changes. External tools come in only where the native options stop.

When a flow spans the CRM and other systems, such as a website form, a booking tool, an ERP or WhatsApp, we build it as a monitored integration through workflow automation or API integration, with retries and error alerts.
Deliverables, scope and exclusions
- An audit of your current pipeline, automations, fields and data quality, with a prioritised list of fixes.
- A written rulebook: every routing rule, deadline, sequence and stage requirement in plain language, agreed with sales management before it is built.
- The automations, built and tested in a sandbox or test pipeline where the CRM provides one.
- A deduplication and clean-up pass on existing records, with a backup taken first.
- Dashboards for management and for each team.
- Short training for users and an admin handover covering how to change each rule.
Not included: CRM licence fees, a full re-implementation of objects and pipelines, a migration from another CRM (that is CRM migration), sales training on how to sell, and writing marketing campaigns. Messaging charges from Meta or your WhatsApp provider are paid by you directly.
How the work runs
Audit
We review the CRM with admin access and sit with two or three users to see how they actually work, including what they do outside the CRM.
Agree the rules
Routing, deadlines, stage requirements and sequences are written down and signed off by the person who owns the sales process. Arguments about rules happen here, not after launch.
Clean the data
Duplicates are merged and key fields standardised before automation starts, so rules do not act on bad data.
Build and test
Automations are built in a test environment and run against realistic test records, including edge cases such as an Arabic name, a missing phone number or a lead arriving at 2am.
Staged rollout
We switch on one area at a time, usually routing first, then follow-up, then stage rules, and watch the results for a week before the next.
Review
After a few weeks we compare response times and stage movement with the baseline and adjust the rules that are not working.
What drives the cost
- How many teams, pipelines and routing rules need to be modelled.
- The state of the data: a small clean database is quick, years of duplicates are not.
- Whether channels such as WhatsApp, web forms or call tracking need to be integrated, or are already connected.
- How much can be done with native automation on your CRM edition, and how much needs external workflows or custom code.
- Dashboard requirements, especially when data from outside the CRM is included.

Questions buyers ask
Do we need to upgrade our CRM plan?
Sometimes. Several of these features sit in higher tiers of HubSpot, Zoho and Salesforce. We tell you during the audit which automations your current edition supports, and when an external workflow is cheaper than an upgrade.
Will the automation break when someone changes a field?
It can, which is why the rulebook lists every field each automation depends on, and why we mark those fields in the CRM. Your admin gets a short guide on what is safe to change.
Can WhatsApp chats go into the CRM?
Yes, when WhatsApp runs on Meta's WhatsApp Business Platform, directly or through a provider. Chats on the WhatsApp Business app on a personal phone cannot be reliably captured. Moving to the platform is often the first step.
Our sales team works in Arabic and English. Is that a problem?
No. Routing can use language as a rule, templates and sequences are written in both languages, and names in Arabic script are handled in duplicate matching alongside their English spelling.
Can you work alongside our existing CRM partner?
Yes. We agree who owns which part of the configuration, so changes do not overwrite each other.
