Why teams choose n8n
n8n is a workflow automation platform with a visual editor, hundreds of built-in integrations and the option to drop into JavaScript or Python when a step needs real logic. Its main difference from Make and Zapier is that you can run it on your own infrastructure. For a business handling customer, patient or financial data, that means workflows and their execution logs can sit in a server you control, in a region you choose.

Self-hosting doesn't make everything local. If a workflow calls an AI model, a CRM or an email service abroad, data still leaves at that step. We map every external call so you can see exactly what crosses the border, which matters when you assess cross-border transfers under the UAE PDPL. - Supplier invoices arriving by email are read, the supplier TRN, invoice number, amounts and 5% VAT are extracted and checked against the purchase order, and a draft bill is created in your accounting package. Mismatches go to a person instead of being posted.
- Order and delivery updates
- New ecommerce orders pushed to a courier's API, tracking numbers written back, and cash-on-delivery orders flagged for confirmation before dispatch.
- Weekly reporting
- Figures pulled from ads, CRM and accounting every Monday into one sheet or dashboard.

Error handling and monitoring
- Retries with waiting time on steps that call outside services, so a brief API outage doesn't lose data.
- A dedicated error workflow that catches failures, keeps the input data and alerts a named owner by email, Slack or WhatsApp.
- Duplicate checks before writing, so a replayed run doesn't create a second invoice or contact.
- Credentials stored in n8n's encrypted credential store, one service account per system, never a personal login.
- Execution history kept long enough to debug, then pruned so the database doesn't grow without limit and personal data isn't kept longer than needed.
- For heavier loads, queue mode with separate workers, so one slow workflow doesn't hold up the rest.
When Make or Zapier is the better choice
We recommend Zapier when the automations are simple, volumes are low and someone non-technical on your team will build and edit them. We recommend Make when you want a visual tool with more branching than Zapier but have no appetite for hosting. In both cases you avoid server upkeep, and for a handful of small workflows that is worth more than n8n's flexibility.
n8n earns its place when volume makes per-task pricing expensive, when data needs to stay in your infrastructure, or when workflows need code, complex branching and proper version control. The platform choice is covered in more depth on the workflow automation page.
Handover, deliverables and pricing

- n8n installed in your cloud account or set up on n8n Cloud under your ownership, with a database, backups, HTTPS and access control.
- Workflows
- Named, commented and exported to a repository, so changes can be reviewed and rolled back.
- Runbook
- What each workflow does, how to pause it, replay a failed run, rotate a credential and update n8n safely.
- Handover session
- A walkthrough with the person who will own the workflows, recorded for new staff.
Not included unless scoped: rebuilding the connected systems, cleaning historical data and licence fees for n8n or connected tools. Questions buyers ask
Is self-hosted n8n free?
The community edition has no licence fee for internal business use, but you pay for hosting, backups and someone's time to maintain it. Some features need a paid plan. We estimate the full running cost before you decide.
Can you move our Zapier or Make workflows to n8n?
Yes. We audit what exists first and move only the workflows where volume, cost or data needs justify it. Simple ones can stay where they are.
Can n8n use AI?
Yes. n8n has nodes for calling language models, which we use for steps such as reading an invoice or classifying an email. The rest of the workflow stays rule-based, so it remains predictable.
Who keeps n8n updated?
Either your team, following the runbook, or us under a maintenance or support agreement. Updates are tested on a copy first when workflows are business-critical.
Do we own the workflows?
Yes. They run in your accounts and the exported files and credentials are yours.
